Job Description

Job Title: Salesforce Coordinator Reports to: Chief Administrative Officer FLSA Code: Exempt, Full time Hours: 40-hour workweek; hybrid Location: Men’s Center, 402 N. St. Louis Ave. Chicago, IL 60624 We are Breakthrough Breakthrough is intentionally located in and works alongside residents in East Garfield Park. Each year, Breakthrough has the opportunity to work with over 6,000 local residents and their families. POSITION SUMMARY The Salesforce Coordinator will work to insure that Breakthrough’s database systems are well maintained and that staff have access to the training and technology needed to support Breakthrough’s mission. They will develop use policies, database configurations and reports to ensure that programmatic goals and funding source requirements are met. ESSENTIAL RESPONSIBILITIES / FUNCTIONS As a member of the Administration team, the Salesforce Coordinator performs various tasks including but not limited to: - Develop and implement database use policies and procedures, including those for database architecture, security, standards, purchasing, and service provision. - Analyze and make recommendations for the improvement and growth of donor management and client information systems. Research and recommend innovative and automated approaches, identifying those that leverage our resources and provide economies of scale - Keep current with the latest technology trends by attending webinars, user group meetings, and connecting with other administrators. Database Administration and End-User Support - Serve as System Administrator for Breakthrough’s Salesforce database and related integrated platforms used for fundraising and participant registrations. - Design, configure and implement additional features and services as required to insure maximum effectiveness and utilization. - Manage user accounts, roles, security, profiles, and licenses. - Create and maintain record types, sales processes, approval workflows, and object relationships - Create and customize standard and custom objects including fields (also formula fields), page layouts, workflow, and validation rules - Install and maintain third-party applications as needed to meet business goals. - Monitor and maintain donation payment processing system and secure website integration. - Develop and maintain documentation, standard operating procedures, process workflows, and training materials for users. - Provide end-user support and tailored training sessions for Salesforce, covering topics for both fund development and programmatic users. - Proactively monitor and report on data integrity and adherence to data entry and system usage standards. Regularly perform database de-duping and cleanup procedures. - Provide prompt and complete resolution to technical challenges and system issues. Report Writing - Meet with stakeholders to define reporting requirements and goals. - Create prototype reports, diagrams, and charts for the production of accurate reports and train staff in how to use these tools. - Prepare and deliver reports as needed, using Salesforce reports and dashboards, Excel, and other tools as needed. - Provide recommendations for improving processes in database use and reporting systems across the organization. - Performs other duties as assigned. Demonstrated Values - Independently follows agency policy and procedures - Follows through with commitments including meeting established timelines - Identifies and resolves difficult issues - Project a professional image to all internal and external customers ensuring proper grooming, dress code and hygiene - Promote customer care through all actions and behaviors - Works effectively with diverse staff, communities and population served - Maintain a high degree of sensitivity, tact, and diplomacy during stressful situations. - A passion for the mission of Breakthrough QUALIFICATIONS - Bachelor’s degree in computer science or information technology - 1-3 years of experience in application administration - Minimum of 1-3 years prior experience as a Salesforce Administrator - Administrator certification and experience working in Salesforce Non-Profit Success Pack preferred - Experience working with third-party tools including Zapier and Tableau preferred Required Knowledge, Skills and Abilities - Ability to demonstrate strong interpersonal skills, professionalism, and problem-solving ability. - Must have the ability to use initiative, discretion and independent judgment in making decisions. - Ability to demonstrate initiative and follow through and be comfortable working in a changing environment. - Demonstrates willingness to consistently improve work performance through their relationship and guidance. - Sound administrative skills including strong computer skills and a working knowledge of Microsoft Office & Google Drive - Must possess an accurate and informed understanding of cultural and urban realities, especially as related to youth, families, poverty, and community development. SUPERVISION - Direction received from the Chief Administrative Officer - This position does not have any direct reports PHYSICAL REQUIREMENTS AND WORKING CONDITIONSWork Environment While performing the duties of this job, the employee will work in a multi-purpose facility and/or outdoors and thus will be exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate but can be high depending on the activities in the facility. Physical Demands While performing the duties of this job, the employee is frequently required to walk and/or sit; use hands and fingers to feel objects, tools or controls, reach with hands and arms; balance; stoop; regularly talk or hear. The employee must be able to bend, stoop, pull, and lift as well as have an overhead extension of arms. Must be able to stand for long periods of time; be able to lift, carry or move at least 20 pounds. Must adhere to proper handling and lifting techniques. Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus. The physical demands described here are representative of those that must be met by the employee to successfully perform the essential functions of this job. Equipment Used The employee will generally use general office equipment including but not limited to telephone, computer, calculator, copier, paper shredder, paper cutter, and filing systems. The cost of this benefit is paid fully by the organization. - Short and long-term disability - If you become disabled, UnitedHealthcare provides both short-term and long-term disability insurance to full-time employees. The cost of this benefit is paid fully by the organization. - 401 (k) Plan - We offer a 401(k) plan which is a tax-deferred annuity to assist full-time employees in planning for retirement. We match 50% of your contribution up to a total of 3% of your base salary. - Section 125 Plan (FSA) - Through TASC, we allow full-time employees to make contributions toward premiums for medical insurance, out-of-pocket medical expenses, dependent care expenses, and/or transit and parking on a “before tax” rather than an “after tax” basis. - Vacation Days - Full-time employees in this position are eligible to accrue vacation days at a rate of 6.67 – 13.33 days per month based on tenure with the organization. - Personal Days - Full-time employees in this position are eligible for up to 3 personal days annually, pro-rated in year one. - Sick Days - Full-time employees in this position are eligible for up to 10 sick days annually, pro-rated in year one. COMPENSATION The actual salary within the range is determined by many factors including but not limited to skills, experience, education and internal equity. $65,000 - $75,000
