For more information visit our website: [Deeply Rooted Insurance Agency | Oakbridge Insurance - Oakbridge Insurance](https://oakbridgeinsurance.com/) ## Description The HR Operations & Systems Coordinator supports the day-to-day administration of Oakbridge’s Human Resources programs, systems and employee processes. This role serves as a key partner in maintaining employee data integrity, supporting HR technology platforms, coordinating HR operations and enhancing the employee experience from onboarding through offboarding. This position is ideal for a detail-oriented, highly organized professional with strong technical aptitude who enjoys improving processes, working with data and leveraging technology to support people operations. The HR Operations & Systems Coordinator will play an important role in supporting HR systems, reporting and analytics, compliance efforts and continuous improvement initiatives across the Human Resources function. This role offers significant growth opportunities within Human Resources, HR Operations, HRIS Administration, People Analytics and Workforce Technology. ## Work Performed HR Operations - Support employee lifecycle activities including onboarding, job changes, promotions, transfers and offboarding - Manage operational aspects of the candidate lifecycle, including interview scheduling, candidate communications, pre-employment processes and onboarding readiness - Partner with Talent Acquisition to ensure a consistent, efficient and positive candidate experience throughout the recruiting and hiring process - Maintain accurate employee records and data within HR systems and related platforms while ensuring employee transactions are processed accurately and in a timely manner - Assist with HR compliance activities, documentation requirements, audits and reporting obligations - Respond to employee inquiries regarding HR policies, systems, procedures and employee programs - Coordinate HR communications and employee documentation HR Systems & Technology - Serve as a primary support resource for UKG and other HR technology platforms - Maintain employee profiles, workflows, organizational structures and system configurations - Troubleshoot routine HRIS issues and escalate complex system concerns as appropriate - Identify opportunities to automate manual processes and improve operational efficiency through technology - Support user training, system adoption and ongoing utilization of HR technology tools Reporting & Analytics - Generate recurring and ad hoc reports related to workforce data, employee metrics and organizational trends - Support analysis related to headcount, turnover, demographics, workforce planning and other HR metrics - Prepare reports, dashboards and presentation materials for leadership and business reviews - Ensure data accuracy and consistency across reporting platforms and systems Process Improvement & Project Support - Document HR procedures, workflows and standard operating processes - Participate in HR projects, technology initiatives and process improvement efforts - Recommend enhancements that improve employee experience, operational effectiveness and data quality - Support implementation of new HR technologies, reporting capabilities and process improvements - Assist with change management activities, communications and user adoption efforts related to HR initiatives ## Requirements - Exceptional organizational skills, attention to detail and a continuous improvement mindset - Ability to manage multiple priorities and deadlines in a fast-paced environment - Excellent written and verbal communication skills - Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information - Strong customer service orientation and commitment to delivering a positive employee experience - Ability to work independently while effectively collaborating with cross-functional teams - Strong working knowledge of Microsoft Office Suite (Outlook, Teams, Word, PowerPoint and Excel) ## Preferred Education & Experience - Bachelor's degree in Human Resources, Business Administration, Information Systems, Analytics or a related field preferred - 1-3 years of experience in Human Resources, HR Operations, HRIS Administration, Payroll Administration, Business Operations or a related role - Experience with HR technology platforms, particularly UKG, and employee data management preferred - Exposure to reporting, analytics, process improvement or systems administration strongly preferred - Experience supporting HR compliance, employee lifecycle processes or workforce reporting is a plus
